COORDINATOR, TRAVEL EXPENSE - TRAVEL MANAGEMENT DEPARTMENT

 

What’s the Opportunity? 

We are seeking a coordinator responsible for reviewing, verifying, and processing expense reports for persons travelling on behalf of the Ministry to ensure compliance with company policies and procedures. This role requires strong attention to detail, accuracy, and confidentiality, as well as excellent communication skills for coordinating with employees and management to resolve discrepancies and ensure timely reimbursements.

 

Key Responsibilities: 

  • Review and process employee expense reports in accordance with company travel and expense policies.
  • Verify supporting documentation, receipts, and approvals for accuracy and compliance.
  • Identify and resolve discrepancies or policy violations by communicating with employees and supervisors.
  • Accurately enter and maintain expense data in the company’s expense management system.
  • Prepare reimbursement requests and ensure timely processing of payments.
  • Monitor expense trends and report potential issues or areas for policy improvement to management.
  • Assist in the preparation of monthly expense summaries and reports for departmental review.
  • Collaborate with Finance and HR teams to update and communicate expense-related policies and procedures.
  • Maintain organized and confidential records of all expense submissions and related correspondence.
  • Support internal and external audits by providing documentation and clarification as required.
  • Perform other finance-related administrative duties as assigned.

 

What You Will Need to Succeed:

  • Bachelor’s degree in related field with a minimum of seven (7) years experience.
  • Strong understanding of accounting principles and internal control procedures.
  • Proficiency in Microsoft Office Suite.
